How to Pre-register a Visitor through the Booking Portal

If pre-registration is enabled by your organisation, you can complete this process directly from your booking portal.


To begin, sign in to the booking portal here. Then, navigate to the "Visitor" tab located on the left-hand side. Click on "Pre-register" at the top to access the pre-registration form.

Fields marked with a red dot are mandatory, while others are optional. If you wish to send a pre-registration email to the upcoming visitor, tick the box at the bottom right. Once you've completed the form, click "Register" to finalise the process.


If you send a pre-registration to the visitor, they will receive an email containing a code they can use to log in via your VMS app. Alternatively, if you're employing a concierge-style login system, the receptionist can mark the pre-registered visitor as "arrived" directly from the list.

To edit a pre-registered visitor, locate them within the list and click on the yellow pencil icon. This action will bring up the pre-registration form, allowing you to make necessary changes. Once you've made the desired edits, click "Save" to apply the changes.

To pre-print the badge for a pre-registered visitor, locate the visitor's name and click on the green printer icon next to it. This action will bring up the printing dialogue. Simply click "Print" to initiate the printing process.

To delete a pre-registered visitor, first, locate them within the list. Then, click on the red rubbish bin icon next to their name. You will be prompted to confirm whether you wish to proceed with the deletion. Select "OK" to proceed with the deletion.
