Restricted Room Booking


Hey there! We've made some exciting changes to Space Connect Room Restricted Room Booking! Now, you have even more control over your digital real estate. These new features work seamlessly across the entire Space Connect ecosystem, giving you unparalleled control with utmost simplicity


You now have the flexibility to customise settings for each room just the way you want. You can easily access these configurations in the Admin Panel under Locations - View - Manage Rooms - Edit Room - Room Restrictions. From there, you can switch on or off the specific settings to suit your preferences. It's all about giving you the control you need!


Here are the fantastic options available in this section, and here's how they work.


Automatically release the room as a result of a no-show:


Don't worry about forgotten bookings! If a meeting isn't checked in within the specified time (set in Notification Settings - Cancel Room Booking - Action Time in minutes), the room will automatically become available for others.


How do I know if restrictions are impacting a booking?


Easy peasy! If a room has restrictions enabled and they affect the booking process, you'll spot the room displayed in yellow. In this scenario, regular users won't be able to book the room. But admins can step in and make a booking if needed!


Restricted Room


Booking App:

Users: A restricted room will never be bookable by regular users. They won't see it as an option when booking.

Admin: Admins have the privilege to book restricted rooms. They can access and book these rooms as needed.


Outlook Addin:

Users: For regular users, restricted rooms will never appear as bookable options when they use the search facility.

Admin: However, restrictions have no effect on admin users. They can still view and book these restricted rooms without any limitations.


Room Panel:

Ad-hoc booking, If enabled within the panel settings, both regular users and admins can make impromptu bookings using the Room Panel. It offers flexibility for quick bookings whenever necessary.


Restricted Booking Length


It is possible to limit the maximum booking time using this feature.


Users: Regular users can book a room if the booking length is less than or equal to the maximum allowed booking length.

Admin: Admins have the flexibility to book a room for longer than the maximum length if needed.


Outlook Addin:

Users: For regular users, they can only book a room if the booking length is less than or equal to the maximum allowed booking length.

Admin: The restriction doesn't affect admin users, so they can book a room for any duration without limitations.


Room Panel:

Both regular users and admins can make bookings up to the maximum allowed booking length. The rule applies equally to both user types.


Restricted Booking Window


Using this setting, you can restrict the available times for making a booking. Please note that this limitation refers to the time when the actual booking will take place, not the time when the booking is made.


Booking App:

Users: Regular users can book a room only if the selected times fall inclusively inside the booking window.

Admin: Administrators are not affected by these restrictions and can book the room outside of the restricted booking window, as long as it's available and not already booked.


Outlook Addin:

Users: For regular users, they can book a room only if the chosen times are inclusively within the booking window.

Admin: Admin users are not restricted by this feature, so they can book the room without any limitations.


Room Panel:

Both regular users and admins can make ad-hoc bookings within the booking window. This means that any bookings must be made during the specified booking window, ensuring the system works the same way for both user types.


Information Panel Update


In order to accommodate the new restricted room settings, we have enhanced the information panel to provide users with a more user-friendly display of room restrictions and additional details. This updated panel applies to both desks and rooms and is available across all device types.
